Recruiting & Admissions Management System
The system we've used and why we are changing it:
EMAS is a customer relationship management (CRM) system that the Office of Admissions uses to manage its database of prospective students. EMAS provides tools to facilitate communication with prospective students, applicants, and admits. Additionally, EMAS is used to process applications for admission and provides a workflow for routing transfer evaluations to the Registrar’s Office.
Finally, many offices across campus utilize EMAS to aid in their communication with students after admission. EMAS announced last fall that they would not continue to offer support for the database after September 2020, which made it necessary to find another solution.
The new system and why its going to be good:
Technolutions' Slate (Slate) is a CRM that offers extensive tools to replace EMAS and improve user experiences for students, faculty, and staff. A few long-term, notable enhancements and key features include:
- Customizable applications, which are automatically loaded into the system in real time. The current applications must be imported manually into EMAS, resulting in delays for students and increased workload for staff.
- The ability to run reports more efficiently to allow for more strategic recruitment planning.
- As a web-based system, and due to support from CSU, Slate will require less attention from technical staff in both the Office of Admissions and IT compared to EMAS.
- Slate is used by more than 1,000 institutions, and most of the other vendors the Office of Admissions works with have integrations with Slate that were not available with EMAS, resulting in increased efficiencies.
- Slate offers a student portal, which will allow applicants to view their application status and missing items in real time.
Who will be impacted and what to expect:
The Office of Admissions will be impacted the most; however, other offices utilizing EMAS or working closely with the admissions office will also be impacted. Much of the work for the transition will be ongoing between now and September, but some work to refine the system and new processes may continue through the Spring 2021 semester. While we are working to minimize impact, there may be delays in response to non-critical errors with EMAS.
Additionally, many current processes will change, which may temporarily impact prospective students, parents, high school counselors, and CSU-Pueblo faculty at staff. These changes will be communicated clearly to all stakeholders with as much advance notice as possible. Key admissions staff members may also have reduced availability due to their focus on the Slate project. However, initiatives impacting enrollment will continue to be a priority.
